Finance Administrator


Reports to   Finance Manager and HR Advisor

Contract   Permanent, 15 hours per week, worked over 2 days per week

Salary   £18-22,000 per annum pro-rata

Based   Charlotte Road, Shoreditch and other venues as required

Overall job purpose    

To support the Finance Manager and HR Advisor in delivering consistently effective systems of financial control.


 The Royal Drawing School is looking to appoint an efficient, effective and personable individual who can support the administration of the School’s Finance department.

One of the Prince’s Charities, the Royal Drawing School runs an innovative programme of drawing courses including a Foundation Year, the Drawing Year postgraduate-level programme, a public programme for adults and a programme for Young Artists.

As the Finance Administrator you will implement effective administrative systems, ensuring the Finance department is highly organised and efficient.

This is a role that requires a highly organised individual, able to plan their workload and keep themselves and others to tight deadlines. You will have an interest in and understanding of finance processes, good mathematical abilities, a meticulous eye for detail, the ability to think on your feet, you will be adaptable and flexible and have a professional and sensitive manner in dealing with people at all levels.

 

Specific Duties

  • Logging, coding invoices and circulating them for staff’s signature, preparing batches to send to outsourced accountants, requesting missing invoices based on statements in a timely manner
  • Reconciling petty cash tin monthly
  • Circulating and chasing credit cards reports in a timely manner
  • Banking cheques and cash weekly
  • Updating staff details in database
  • Ordering stationery
  • Filing all finance documents and some HR documents
  • Updating calendar with staff holidays
  • Posting payroll slips
  • Performing other duties as required across a wide spectrum of the Finance and HR activities to assist the Finance Manager and HR Advisor

 

Person Specification

  • A minimum of a year of working to support an office in an administrative capacity
  • Degree (minimum 2.1 or equivalent)
  • Good mathematical abilities
  • Proficiency in the use of standard PC software (Word, Excel and Outlook)
  • An interest in and understanding of financial processes
  • Capable of independent working and a team player
  • Proven excellent ability to organise workload and keep to deadlines
  • A meticulous eye for detail
  • Enthusiastic and hardworking with a flexible and proactive attitude
  • Ability to communicate with people at all levels
  • Experience in dealing with invoices and petty cash is a plus
